Who we are
This site is operated by SFND Technologies Ltd, trading as Sofned. We're a senior-led software studio. When this policy says “we” or “us”, that's who we mean.
Questions about anything below, or you want to exercise one of the rights in section 6, write to [email protected]. We aim to respond within 30 days.
1. What we collect
The only data we collect from you is what you give us directly:
- Contact form— your name, email, optional company name, and the message you send us.
- Newsletter signup— your email address, and which page you signed up from.
- Booking a call— your name, email, time zone, and any answers you give to optional pre-call questions.
- Email replies to us— the content of any email you send us, including subject and sender details.
Some technical data is also collected automatically when you visit any website, including ours: IP address, browser type, and pages visited. We use this for security and aggregate site analytics. We do not build behavioural profiles on visitors.
We do not sell your data. We never have. We never will.
2. Why we use it
We use the data above for specific, narrow reasons:
- Reply to your enquiry. Legal basis: legitimate interest in responding to people who contact us, and pre-contract steps if we go on to engage.
- Send you the newsletter you signed up for, and only that. Legal basis: your consent, which you can withdraw at any time by unsubscribing from any email or writing to us.
- Confirm bookings and send pre-call prep materials. Legal basis: contract / pre-contract steps.
- Operate the site securely (anti-bot, anti-abuse) and understand aggregate usage. Legal basis: legitimate interest in running a safe website.
3. Who we share it with
We use essential third-party service providers to run the site and reply to you. We share only the minimum data each one needs to do its job. We don't name them publicly to keep competitors guessing about our stack, but we'll share the full list with you on written request. The categories are:
- Site hosting and content delivery
- Transactional email delivery
- Calendar booking
- Cookieless web analytics
- Security, anti-bot challenge, and DDoS protection
Some of these providers operate from outside Ghana, including the United States and the European Union. Where the law requires it, we rely on standard contractual safeguards approved by data-protection authorities for cross-border transfers.
We don't share your data with marketers, advertisers, or data brokers. Ever.
4. How long we keep it
We delete data on schedules that match how we use it. As a default:
- Contact-form enquiriesthat don't lead to an engagement: 18 months, then deleted.
- Enquiries we've classified as opt-out, wrong recipient, or hostile: 30 days, then deleted.
- Marketing leadswe've reached out to who never replied: 12 months, then deleted.
- Newsletter unsubscribes: removed from the active sending list immediately, the underlying record kept for 30 days then deleted.
- Engaged-client records: kept for 6 years after the engagement closes, to match standard accounting and tax-record retention. Specifics may be adjusted by the signed engagement letter.
You can ask us to delete your data sooner — see section 6.
5. Cookies and tracking
This site uses only essential cookies and equivalents. We don't set tracking cookies, advertising cookies, or cross-site profiling cookies of any kind.
Our analytics is cookieless and aggregates traffic without building a profile of any individual visitor. Security and anti-bot cookies set by our service providers are essential to operate the site and are exempt from consent requirements in most jurisdictions.
6. Your rights
If you're in the EU, UK, California, Ghana, or most other jurisdictions with a modern data-protection law, you have the right to:
- Ask for a copy of the data we hold about you (access)
- Correct anything that's wrong (rectification)
- Ask us to delete your data (erasure / right to be forgotten)
- Object to or restrict how we use your data
- Receive your data in a portable format
- Withdraw consent for the newsletter at any time
- Complain to your local data-protection authority
To exercise any of these, email [email protected]. We'll respond within 30 days, often much sooner. We don't charge for these requests.
7. Changes to this policy
We may update this policy as our practice evolves. Material changes will be reflected by updating the effective date at the top of this page. If you've given us your email, we'll let you know before any change that meaningfully affects how we use your data.
